This page helps users handle a Business Entity Search in Indiana, including how to look up entities, review search options, and use official business record tools.

Indiana business entity records are available through INBiz, the state’s business portal tied to Secretary of State business filings and related services.

Use the INBiz Business Search to look for Indiana business entities by the details you already have. The search supports broad and narrow matching options, including Contains, Starts With, and Exact Match.

Common search fields include:

  • Business name
  • Business ID
  • Filing number
  • Registered agent name
  • Incorporator or governing person name

For a more targeted lookup, the advanced search also supports filters such as entity type, status, name type, street address, city, and ZIP code.

  • Open the search Indiana business entities tool.
  • Choose the search match type that fits your information.
  • Enter the business name, ID, filing number, registered agent, or governing person information.
  • Use advanced filters when a common name returns too many possible matches.

Business name availability

INBiz also provides a business name availability search for users preparing to register a business. The name availability check helps users see whether a legal business name may be available for use.

Name availability is preliminary. A name is not guaranteed as available until final processing is completed at the time of filing. If the name is available, users may reserve the name for 120 days or file documents to organize the business under that name.

Use the check business name availability option before filing registration documents.

Business filings and entity reports

Indiana businesses use INBiz to file and maintain Secretary of State business records. Business entity reports are required for businesses registered with the Secretary of State and are separate from tax filings.

Reports are filed every other year. The first report is due two years after the business is formed or registered, and reports are due by the end of the anniversary month. Users can locate a business through Business Search and click the Business ID to view the due date on the Business Details page.

Business entity reports may be filed on INBiz or by paper. INBiz notes that online filing provides faster processing and lower filing fees for many filings.

Business type Filing method Fee
For-profit business INBiz $32.00
For-profit business Paper $50.00
Nonprofit business INBiz $22.00
Nonprofit business Paper $20.00

Certificates and business record copies

INBiz offers information request options for users who need proof that a business has complied with Indiana requirements. A Certificate of Existence includes the business name, incorporation or qualification date, whether the most recent report has been filed, confirmation that no notice of withdrawal, dissolution, or expiration has been received, and the Seal of the Secretary of State.

A Certificate of Existence Long Form includes those items plus a list of all documents filed for the business. INBiz also provides free copies of business entity filings and certificates.

When a database search does not return a result, users may request a due and diligent search. That search covers microfilm and historic records, and if the Secretary of State cannot locate the requested record, a State Archives search is performed. Processing takes 10-15 business days.

Use the order or request Indiana business certificates page for certificate and information request options.

Reinstatement and record status issues

If a business was administratively dissolved or revoked, INBiz directs users to conduct a business search first to determine the dissolution date and whether the business is eligible for reinstatement.

Eligible businesses begin by obtaining a Certificate of Clearance. The process includes submitting an Affidavit for Reinstatement and a Responsible Officer Information form to the Indiana Department of Revenue. INBiz states that the Certificate of Clearance takes an average of 4 weeks to process and mail.

For Department of Revenue status updates on a Certificate of Clearance, call (317) 232-5977, option 2.

Bulk business entity data

The Secretary of State’s Bulk Data Services allow INBiz users to purchase Business Entity and Trademark records on file with the State of Indiana. Users must have an INBiz account to purchase and download bulk files.

Business Entity bulk data includes a one-time download generated on the first of each month with information on all businesses registered with the Secretary of State as of the last day of the previous month. INBiz also lists a monthly update option and a monthly listing of new businesses in CSV format.

The bulk file download with monthly updates has a fee of $9,500, plus $500 for each monthly file the user chooses to download.
